Job Order: Accounts Receivable and Payable Specialist

Job Description:
Client of Express Employment Professionals is seeking qualified and detail-oriented Accounts Receivable and Payable Specialist to join our team. The ideal candidate will be responsible for managing both accounts receivable and accounts payable functions, as well as performing various office administration tasks. The role requires a highly organized individual with a strong accounting background and excellent communication skills.

Key Responsibilities:

Accounts Receivable:

  • Prepare and submit customer invoices
  • Manage collections on open receivables
  • Create and maintain all customer files
  • Handle intercompany entries
  • Manage foreign currency exchange
  • Perform sales and use tax reporting

Accounts Payable:

  • Perform accounts payable functions, including coding, inputting, and 3-way matching
  • Verify and process employee expense reports
  • Create and maintain all vendor files, respond to inquiries, and research discrepancies
  • Maintain 1099s and handle annual reporting
  • Maintain certificates of insurance
  • Prepare and process check runs

Office Administration:

  • Perform general administrative duties, including daily office open/close, answering phones, greeting visitors, and distributing office supplies
  • Manage office lunch orders, receipts, and setups
  • Distribute daily mail and assist with hotel and travel arrangements
  • Assist with office maintenance and other departmental administrative tasks, as requested and approved by the Controller

Qualifications:

  • Knowledge of and ability to apply standard accounting principles, financial control procedures, and computerized accounting systems/software
  • Ability to follow oral and written instructions and communicate effectively
  • Maintain effective working relationships with customers, employees, vendors, and others
  • Strong organizational and time-management skills
  • Dependable, professional, detail-oriented, and able to multi-task and learn quickly
  • Excellent customer service and problem-solving skills

Education and Experience:

  • Associate’s degree or college courses in accounting
  • Minimum 2-3 years of accounting experience
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with Adobe Acrobat
  • QuickBooks experience preferred
  • ERP System (Visual Jobshop) experience is a plus
